Privacy notice

Nebula Estimating is operated by Nebula Robotics LLC. This notice explains how we handle information when you use Nebula Estimating, including AutoQuote. Contact dante@nebulaestimating.com about privacy questions or requests.

Information we handle

• Account information: your email, company name, login identity, and account activity.
• Workspace information: estimates, customer details you enter, pricing history, job descriptions, photos, documents, and settings.
• Billing information: subscription status and payment-provider identifiers. Stripe collects and processes your payment details; our application does not receive or store full card numbers.
• Technical information: service logs, request information, and security records needed to operate and protect the service.

Why we use it

We use this information to provide your company’s workspace, generate and save estimate drafts, authenticate accounts, send account emails, manage subscriptions, provide support, prevent abuse, and meet applicable obligations. Upload information only when you have permission to use it, and avoid including unrelated personal or sensitive information.

Service providers and AI processing

We use Supabase for authentication, Resend for account emails, Stripe for billing, and OpenAI’s Sites platform with Cloudflare storage for hosting and saved data. When you use AI features, relevant job descriptions, photos, documents, or pricing evidence are sent to OpenAI for processing. Providers may process information outside your country under their own applicable terms and safeguards.

We disable optional sharing of API inputs and outputs, model feedback, and evaluation or fine-tuning data with OpenAI. Under OpenAI’s API data policy, API content is not used to train its models unless sharing is enabled. AutoQuote may send saved rates, including price amounts and source references, to OpenAI as context for estimating. Nebula applies the selected saved prices and calculates the final totals. Uploaded documents, photos, descriptions, and notes may also contain prices processed by OpenAI.

This does not mean zero retention. We disable response storage for document extraction and photo estimating. Background estimates use stored responses so work can be recovered when you return; after processing, we request deletion and retain failed deletion requests for retry during later run activity. OpenAI may retain abuse-monitoring logs under its policy. Deleting a stored response does not remove those logs.

Your workspace is assigned to your company’s verified account. Service providers and authorized operators may access information as needed to operate, secure, or support the service. We do not sell your workspace information.

We use necessary cookies to keep you signed in and protect account recovery.

Retention and your choices

Canceling a subscription stops renewal but does not delete your account or saved work. We retain information needed to provide the service and handle support, billing, security, and legal obligations. You can download finalized estimates and contact us to request access, correction, export, or deletion of your account information. We verify your identity before acting. Some records may need to be retained for legal or accounting reasons.
